Here are the highlights from the September 8 board meeting...
 
The Lima Rotary Club Board of Directors met Tuesday September 8, 2015.  Highlights of the meeting follow.
 
·          President’s Report  
Memorandum of Understanding – Lima Rotary Club and the Lima Rotary Foundation
The Board discussed historical information on the Memorandum of Understanding being proposed between the Board of Directors and the Lima Rotary Foundation Board.  The MOU would provide a better structure for money transferred between the Board and the Foundation.  Runk stated the Club has responsibility for bringing in the money and the LRF for spending the money for charitable purposes.  The MOU would codify those arrangements.  Kevin will review the process with his colleagues at Rea Associates and also with Foundation Treasurer Jared Walsh.  The Board will wait for feedback from the Foundation. 
 
Interact Club
Runk has met with Jill Ackerman and the Principal at Lima Senior High regarding the possibility of starting an Interact Club at Lima Senior.  He also plans to meet with Lima Central Catholic and Shawnee. 
 
Rotaract Club
Runk has spoken with Jim Bronder, CFO at University of Northwestern OH, regarding starting a Rotaract Club at the university.  A current student enrolled at UNOH has expressed interest in the opportunity.
 
·          President-Elect Report
Past Due Accounts                                                                                       
David Frost shared his progress on updating the past due account collection process including proposed letters and payment plan arrangements with members who are 90 days in arrears.  He stated the updated process will require an amendment to the Constitution of the Rotary Club of Lima.  Club By-Laws do not address past dues.  Runk will share an educational moment from the podium advising club members that we will be focusing on collecting past due accounts that are 90 days in arrears.  Decker will place an article in the eSpoke.
 
Dictionary Distribution Grant Request
Frost stated a grant application has been submitted to District 6600 to cover a portion of the cost of the dictionaries that will be distributed to 3rd graders in Allen County.  Total cost for the dictionaries will be $2,400.  The maximum amount than can be requested for the grant is $800.  Decisions will be made at the District level on September 17, 2015.  No date has been set for the distribution.
 
·          Vice President Report                                                            
Tracie Sanchez delivered her report on the following Service Projects:
           
Blood Clinic
It will be held on Saturday November 7th.  Emails were sent to all former committee members on Friday Sept 4th requesting them to volunteer again this fall.  Tracie is gathering responses and will work directly with Memorial Hospital. 
           
Rex Perry Golf Outing
The Golf Outing was a success with $36,000 being raised for scholarships.  Eighteen teams participated.  1st place went to UNOH, 2nd place to Wannemacher Total Logistics and 3rd place to Husky Lima Refinery.
 
            Special Needs Christmas Party
The date has been set for Saturday December 19th at Shawnee Community United Methodist church.  Esther will be arranging a committee planning meeting soon.
 
            Social Committee
Annette Swisher, Peggy and Tracie will be meeting this week to discuss what constitutes a meeting and what social meetings we would like to introduce.  The committee is hoping these meetings will take the place of the inside scoop meetings.
 
            Labor Day Parade
The club’s participation in its first Labor Day Parade was successful!  Banners were made by Mike Powell at Sign Pro.  Anne and Russ Decker provided the wagon and truck to pull the float.  T-shirts were provided by Dominion East OH Gas.  Lima Pallet provided pallets to hold up the banners and picked up the tab for them.  Carl Berger provided the candy.  The only cost was the Rotary Club pencils that were given out.  The High Octane Drum Line marched in front of the float and several Abilities League baseball players along with several Lima Rotarians walked and handed out candy. The banners will be displayed at the next club meeting. 
           
·          International Service Update                                                                         
Harold Bischoff provided an update on the Global Water Project.  The Lima Club is the lead club on the project.  Last Spring’s fund raiser raised $6,140 for the project with a need for an additional $5,000 from the Lima Club.  Josh Unterbrink from Activate Allen County has been working with Harold on the upcoming local fund raising efforts – a bike riding competition at the Lima Mall on October 31, 2015.  Harold has materials from Honduras to use for publicity.  The grant request to Rotary International for the project will be over $100,000. 
 
·          New Business                                                                                                            
New member applications were received for:
i.         Jared Lehman – YMCA
ii.        Carol Russell – Spherion
iii.       Linda Hamilton – West Ohio Food Bank
iv.      Matthew Macklin – Baton Rouge Health Services/Plus Management.
A motion was made by Tracie and seconded by Anne to approve the new member applications of Jarod Lehman, Carol Russell and Linda Hamilton.   The application of Matthew Macklin was placed on hold until a conversation to clarify his status as an individual member or a corporate member could be scheduled.  President Runk will look into the situation.  Board approved.
 
Anne made a motion to approve the resignation of Marcus Cox with regret.  Peggy seconded the motion.  Board approved.
 
·          Financial Report                                                                                         
Treasurer Kevin Bill presented the financial Report.  The Balance Sheet page 1 states Cash in the amount of $81,000 and Accounts Receivable in the amount $31,000 with $5,700 as AR Doubtful as collectable.  Liabilities include $23,000 for the 2014 Golf Outing.  The liabilities will need to be paid in 30 – 90 days. The amounts of the Christmas auction for 2013 – 2014 and Spring blood drive for this year have been paid to the Foundation.  The P & L statement indicates net income loss of $18,112.58       
 
There being no further business, Paul Crow made a motion to adjourn and Harold Bischoff seconded the motion.  Board approved.
