Here are the highlights from the May 8th board meeting.
Call to Order     
President Tracie Sanchez called the meeting to order at 11:37 AM with the following members present:  Jill Ackerman, Paul Crow, Ken Dysert, Dave Frost, Dr Susan Hubbell, Jed Metzger, Catheryn Sarno, Paul Swartz, Jeff Tracy, Anne Decker and Secretary Rita Brown.
 
     Presidents Report                                                                 Tracie Sanchez
     Spring Blood Clinic
The Blood Clinic held on Saturday May 5, 2018 netted $40,500.  Five hundred eighty-eight participated in the Blood Draw - which is the 2nd highest number served.    The Club anticipates earning $10,000 - $15,000 for the day.
 
    Torch Run scheduled for June 18, 2018
Sarno is again taking the lead for the event which will include a blood drive.  The event will include a Torch Run with the Lima City Police, Sheriff’s Deputies and State Highway Patrol participating.   The Special Olympics event will be held in the Center Hall of the VMCCC with the Mayor of Lima speaking.
 
    Click it or ticket campaign scheduled for Monday May 14, 2018
Chief Kitchen is managing the campaign and asked Rotarians to arrive for the meeting by 11:15 AM.  The event will be held in front of the VMCCC.  Law enforcement from the EMS Sheriff’s Office, State Highway Patrol, and the Lima Police Department will participate. Lt Grisby will speak briefly at the Rotary Club meeting.
 
       Lima Rotary Club Office
The Lima Rotary Club has had an office/storage location in the basement of the Better Business Bureau building at 219 N. McDonel Street for many years.  Cost to rent the location has always been at $10 per month or $120 a year.   Recently a leak in the pipes in the ceiling of the room caused the office to flood.   Materials in the file cabinets and desks were not damaged but materials not stored in them were water damaged and ruined. We will be consolidating and relocating the office to the 2nd floor in the building.  The cost will remain the same at $10 a month or $120 annually.  Office furniture not being moved to the second floor will be donated to the Salvation Army or Habitat for Humanity.   Swartz Contracting will move the furnishings to the 2nd floor.   Hubbell made a motion to move the Rotary Office to the 2nd floor of the BBB Building at the cost of $120 annually.  Sarno seconded the motion.  Board approved.
 
     Rotary Club Audit
Currently the Rotary Club does not have an annual audit.  Tracy made a motion to begin the process of having an Annual Club Audit.  Frost seconded the motion.  Board approved.   Paul Swartz will also be added to the Rotary Club Checking Account as a Signer. 
 
     Love Lima Week sponsorship - Community Breakfast June 11 2018.  
The Annual I Love Lima Week will kick off the week-long events with a Community Breakfast on Monday June 11th from 8 - 9 AM.  The Rotary Club has been asked to participate.  The Board discussed options such as sponsoring the hall for the event and having the Breakfast replace the weekly Rotary Club meetings scheduled for noon.  Sanchez will look into the option and get back with the Board. 
 
     President Elect Report                                               Paul Swartz
Contracts are due and need to be renewed with the Milano Café and The VMCCC.  Current cost for the Milano Café is $9.85 per lunch.  The proposed new charge by the Milano Café would be $10.30 per luncheon. The weekly charge for the VMCCC is $325 and the proposed new charge would be $375 per week.  The upgrade would include a dedicated technician for audio and visual equipment.   The layout of the halls will be changed with monitors on the North and East Walls with several television monitors around the halls.  These are permanent improvements.  Metzger made a motion to approve the two contracts at the new rate:   The Milano Café at $10.30 per luncheon per member and the VMCCC at $375 per week.  Hubbell seconded the motion.  Board approved.   
 
     Dues
Swartz is also reviewing the dues structure and determining ways to cut cost.  The charge to administer the Scholarship Fund is $1,200 annually.  Swartz spoke with Bill Timmermeister, Chairman of the Scholarship Committee, and Timmermeister has agreed that the Scholarship Committee will pick up that charge.  Timmermeister has requested a report of the members in the club who are paying and not paying the voluntary $12.50 each quarter dedicated to the Scholarship Fund.   Once Brown has secured it, Swartz will share it with Timmermeister.    
 
     Committee signups for new year – all Committee Chairs are in place. 
Dave Frost will chair the Membership Committee.  New members will be asked to bring a friend who would be interested in becoming a new member.
 
     Board Reports                                                                     
     Golf outing  -  Wednesday June 13,  2018                 Paul Crow 
Crow indicated the work of the committee is progressing and the Hole in One Sponsorship has been set up.  Swartz will be sending out an email blast later this week and information will also be available on the Twitter feed. The Gift bags items have all been ordered.  
 
     District Grants                                                                                             
David Runk will be completing the grant applications for district grants for the Kendrick Woods project and the amphitheater.  Grant applications are due by July 1st.     
 
    Treasurer Report                                                       Tracie Sanchez
Sanchez shared the Profit & Loss Statement for the period of July 1, 2017 – May 7, 2018 and reported the club has net income of $10,736.40.   The AR Aging Summary showed a balance of $1,115 for 1 – 30 days; $12,021 for 31 – 60 days; $748 for 61 -90 days; $2,815 over 90 days with 16,699 total.    Sanchez did not see any areas of concern.   Sarno made a motion to approve the Treasurer’s report as submitted.  Tracy seconded the motion.  Board approved.

  1. Resignations-   none
  2. Applications: Jeff Dulmage sponsored by Paul Swartz.  Ackerman made a motion to approve the application of Dulmage and Dysert seconded the motion.  Board approved.
  3. Orientation - The three new members will be invited to an orientation scheduled for Thurs May 31st with induction following on Monday June 4th
  4. Past President’s luncheon has been scheduled for Wednesday June 6 2017.
 
There being no further business, Sanchez adjourned the meeting at 1:04 PM.
